Kanzlei Dialog: GDPR-compliant video conferencing for legal professionals

Challenge

Lawyers, notaries and auditors work with highly sensitive client data. Common video conferencing tools are often unsuitable because they do not meet the strict data protection requirements in Germany and Europe.

What was needed was a secure, GDPR-compliant alternative to platforms such as Teams, Zoom or Google Hangouts that enables professional collaboration without compromising on data protection — and that at the same time stays performant and scalable for many simultaneous users.

Solution

We developed Kanzlei Dialog as a data-protection-compliant platform specifically for the legal sector. The basis was a proven open-source solution that we consistently adapted to the requirements of law firms.

A sophisticated server architecture with optimal load balancing ensures that the platform stays performant and scalable. Integrated dashboards make it possible to share information and discuss it digitally — turning a video call into a tool for real collaboration.

Kanzlei Dialog can be used on all device types, regardless of operating system — whether smartphone, tablet or desktop. The platform is therefore suitable not only for everyday client work but also for webinars and online training.

By purposefully advancing an existing open-source basis, we created a solution that combines control over the data with professional functionality — without dependence on a closed provider whose data protection practices are beyond one’s own control.

Collaboration & delivery

The deliberate decision against a ready-made standard platform was the central choice of the project. Anyone who works with client data must know where that data resides and how it is processed. An open-source basis returns this control — and could be adapted specifically to the workflows of law firms, rather than adapting their work to the logic of a foreign tool.

Performance and reliability were no side issue. A video conference that stutters at the decisive moment is not acceptable in a professional environment. With a well-thought-out server architecture and optimal load balancing, we ensured the platform stays stable even with many simultaneous users.

Kanzlei Dialog is a prime example of a theme that runs through many of our projects: AI and digital tools can be used in a data-protection-compliant way if data protection is considered from the start. For SOLDAN a tool emerged that works reliably in everyday work, in webinars and in online training alike. The project thus shows that specialised sectors with high data protection requirements need not forgo modern digital collaboration but deserve tailored solutions.
